The Financial Services Event Specialist helps bring OneDigital's events and experiences to life across Wealth, Retirement and Executive Benefits. This hands-on role combines strong event execution with a marketing mindset—supporting client and prospect events, conferences, sponsorships, speaking engagements and other experiences from planning through follow-up.
Working closely with Growth Marketers, Strategic Partnerships, the broader Marketing team and business partners across OneDigital, the Event Marketing Specialist coordinates the logistics, marketing activation and cross-functional execution required to deliver consistent, compliant and engaging experiences.
The role also helps develop and maintain repeatable, out-of-the-box event programs that advisors can activate across markets, while supporting more customized, converged, and high-profile experiences as needed. Success requires exceptional organization and follow-through, a strong understanding of compliance and sponsorship requirements, comfort managing multiple stakeholders, and the ability to set clear expectations around the timelines, inputs and approvals required to deliver events successfully.
Essential Duties and ResponsibilitiesEvent Planning & Execution
- Manage planning and execution for in-person, virtual and hybrid Financial Services events, from kickoff through closeout.
- Develop and manage event timelines, budgets, deliverables, agendas, run-of-show documents and stakeholder responsibilities.
- Coordinate venues, vendors, contracts, catering, AV, signage, shipping, registration, speakers and attendee experience.
- Provide on-site execution support for assigned events, conferences and higher-profile experiences as needed.
- Establish and communicate clear lead-time requirements, milestones and stakeholder deadlines based on event scope and complexity.
- Proactively identify when timing, scope, budget, compliance requirements or available resources create execution risks and work with appropriate partners to adjust plans as needed.
- Maintain organized event documentation and contribute to continuous improvement of event processes, templates and workflows.
Event Marketing & Activation
- Partner with Growth Marketers to translate approved event opportunities and objectives into actionable event plans.
- Coordinate invitations, registration experiences, attendee communications, promotional materials, presentations, signage, and other event collateral.
- Develop or adapt event materials within established brand templates and partner with Content, Demand Gen and other Marketing resources when needed.
- Help develop, package and maintain repeatable, out-of-the-box event plays that advisors and local teams can activate, including the templates, promotional materials, execution guidance and follow-up resources.
- Partner with the broader Financial Services Marketing team to turn successful event concepts into scalable playbooks, capturing what worked and standardizing the experience for reuse across markets.
- Support more customized and high-profile experiences in partnership with broader Marketing team.
- Coordinate lead capture and post-event activities, including attendee reporting, surveys, follow-up communications and other agreed-upon activation.
Conferences, Sponsorships & Cross-Business Events
- Partner with the Financial Services event center of excellence (COE) to coordinate conference participation, sponsorship activations, speaking engagements and strategic partner events.
- Manage sponsorship deliverables, benefits, registrations, speaker requirements, branding opportunities and deadlines within established sponsorship agreements and investment parameters.
- Help maximize approved conference and sponsorship investments through coordinated promotion, attendee outreach, materials and follow-up.
- Partner with marketers and stakeholders across other OneDigital business lines to execute converged events, aligning audiences, materials, timelines, approvals and follow-up across participating teams.
- Maintain visibility into upcoming Financial Services conferences, sponsorship commitments, speaking engagements and associated deliverables.
Compliance & Cross-Functional Coordination
- Maintain a strong working understanding of Financial Services compliance requirements and coordinate required reviews and approvals for invitations, presentations, collateral and external-facing event communications.
- Build compliance and approval timelines into event plans from the outset and ensure required reviews are completed before materials are distributed or used.
- Understand and work within applicable sponsorship agreements, benefits, restrictions, spending parameters and activation requirements.
- Proof event materials for accuracy, brand consistency and logistical details.
- Coordinate across Marketing, Strategic Partnership, advisors, Compliance and business leadership to keep event execution on track.
- Set clear expectations with stakeholders regarding required lead times, inputs, approvals and responsibilities, escalating issues when necessary to protect event quality, compliance and execution.
Tracking, Reporting & Continuous Improvement
- Maintain accurate tracking of Financial Services events, conferences and sponsorships, including investment, attendance, engagement and available outcome data.
- Coordinate with Growth Marketing and other partners to capture event results and support event-level and portfolio-level ROI reporting.
- Maintain attendee, vendor, budget, compliance and final event documentation needed for reporting and future planning.
- Prepare event recaps and help identify patterns and learnings that inform which event plays should be repeated, refined or scaled.
- Capture successful materials, processes and execution learnings for incorporation into future event playbooks and out-of-the-box programs.
Travel & On-Site Support
- Travel as needed, up to 50%, to support local market events and provide on-site execution support.
Qualifications, Skills and Requirements
- 5+ years of experience in marketing, communications, design, event marketing or a related field, including exposure to the planning and execution of professional or client-facing events.
- Strong project management and organizational skills, with the ability to take ownership of projects from kickoff through closeout and coordinate multiple stakeholders, deadlines and deliverables.
- A marketing mindset and understanding of how events, experiences and related communications support audience engagement, relationships and broader business objectives.
- Experience with event logistics, marketing activation, conferences, sponsorships or speaking engagements preferred.
- Ability to establish realistic timelines, communicate requirements clearly and manage stakeholder expectations when timing, scope or resources create constraints.
- Experience working within compliance, regulatory or structured approval processes and the ability to work within sponsorship agreements and established event guidelines; financial services experience preferred.
- Strong written and verbal communication skills, attention to detail and ability to develop or adapt event communications and collateral within established brand standards.
- Strong problem-solving skills, sound judgment and ability to work effectively across business lines, markets and levels of seniority in a fast-moving, matrixed environment.
- Proficiency with Microsoft Office and familiarity with Canva or similar creative tools; willingness to travel as business needs require, including occasional evenings and overnight stays.
Education, Training and Experience:
- Bachelor's degree in marketing, communications, business, hospitality, event management or a related field preferred; equivalent relevant experience may be considered.
- 5+ years of experience in event marketing, event planning, field marketing, meeting planning or a related role with significant event responsibility.
- Experience supporting client-facing, prospect-facing, corporate or professional services events strongly preferred.
- Experience developing or adapting event communications, promotional materials or marketing collateral preferred.
- Experience coordinating conferences, sponsorships and/or speaking engagements preferred.
- Experience in financial services, wealth management, retirement, executive benefits or another regulated industry preferred.
- Experience coordinating programs across multiple markets, regions or business lines preferred.
The typical base pay range for this role nationwide is $70,000 to $85,000 per year.
Your base pay is dependent upon your skills, education, qualifications, professional experience, and location. In addition to base pay, some roles are eligible for variable compensation, commission, and/or annual bonus based on your individual performance and/or the company’s performance.
